Executive Assistant to Defence Adviser

Applications are invited for the position of Executive Assistant to the Defence Adviser within the Defence Section of the Australian High Commission. It is highly desirable that the person is an Australian Citizen and should possess a current Australian Security clearance or the ability to obtain the required security clearance.

DUTIES:
• Undertake research and administrative tasks as assigned by the Defence Adviser

• Prepare correspondence for Defence Executive Team

• Provide administrative and secretarial support to Defence Section Staff

• Assist in the planning and coordination of visits to Malaysia by Australian Defence Staff

• Conduct liaison with other sections within the High Commission to ensure the smooth functioning of Defence activities

• Conduct liaison with the Ministry of Defence and other Malaysian agencies for visits and calls

• Maintain the Defence Section contacts and guest lists

• Coordinate articles for the Malaysia-Australia Defence Alumni Association (MADAA) website

• Organise official Defence social functions including MADAA functions

• Brief and coordinate activities of Defence Drivers

• Escort and attend to visitors to the Defence Section

• Facilitate approved travel arrangements for the Defence Executive Team - both internal and as required.


SELECTION CRITERIA

• Very good spoken and written English language skills.

• Highly developed communication and liaison skills, in particular, the ability to deal with Military personnel and representatives from different organisations.

• A high level of proficiency with PC based software applications including Microsoft Word, Excel.

• Ability to plan, organise and prioritise workloads.

• Flexibility and ability to work independently and as a team member.

The position will be on contract basis for an initial two-year period with the possibility of renewal. Salary will be from RM7106.00 per month plus medical, superannuation, flex-time and other benefits.
